The Ontario Cycling Association is accepting applications for the following position
Administrative & Member Services Coordinator
Position Type: Full Time Location: Toronto
The Ontario Cycling Association (OCA) is the provincial sport organization governing the sport of Cycling. Members are competitive and recreational cyclists between the ages of 5 and 80. The OCA is seeking a candidate to work with volunteer committees, provide administrative services, coordinate the associations high performance program, execute communication plans, attend some events and potentially perform basic bookkeeping functions.
Key Accountabilities:
Administrative & Member Services
Oversee and manage all daily operations of the office including the collection of data, membership and program registration fees, and all client services such as answering the phone, faxing and photocopying services Provide a range of general administrative support, including; filing, ordering, receipt preparation, meeting arrangements, and presentation preparation Assist in program coordination and execution, including; registration, budgeting, and post-program follow-up and evaluation Assist in tracking, processing, and fulfilling information inquiries and in preparing for member contact This individual must oversee and maintain office administration procedures
Data Coordination and Reporting Assist in coordinating and maintaining member information, including database entry, updating, and maintaining membership hard files. Run queries and reports, as required. Compile status reports on projects and programs as required
Other Responsibilities Complete projects as necessary and assigned by the Executive Director. This may include grant and funding proposals, and communication materials. Design and publish all the Associations communication materials, including the newsletters, handbooks, the Annual General Meeting Report and the OCAs website. Assist with planning special events and meetings Grant writing Attending events on the OCAs behalf As a small association, we expect a team player who will help wherever necessary
The following is desired but not mandatory: Bookkeeping (using Quickbooks Pro)
Process invoices and receive payments Prepare cheque requisitions; process cheques and receipts Compile and balance weekly bank deposits of all funds received Make deposits, reconciling bank accounts Monitor accounts receivable and payable Monitor and reconcile high performance program revenue and expense budgets; produce reports as required

Demonstrated interpersonal savvy through working effectively and communicating with a variety of different audiences. Strong communication skills, both oral and written.
Other Requirements: Proficient computer skills; strong knowledge of Microsoft Office Appropriate post-secondary education Proven administration experience and skills. At least 3 years work experience as an administrator, preferably in a not for profit or sports environment
