POSITION TITLE: Administrative & Member Services Coordinator
POSITION TYPE: Contract/Part-Time.
COMPETITION CLOSE DATE: June 22nd, 2007. Interviews will be scheduled for 3rd and 4th of July.
POSITION START DATE: July 9th, 2007. Start with 5-6 days of training, then commence regular schedule. Pay is same for training period.
WAGE: $13/hour
HOURS: 18-24 hours per week (3 or 4 days per week). Schedule of hours flexible.

PACIFICSPORT/NTTC-V MANDATE
The mission of PacificSport Canadian Sport Centre is to foster outstanding Canadian athletes through the creation of a dynamic environment for sport performance at all levels by integrating world-class athlete services, coaching excellence and long-term sport development initiatives. The goal of the National Team Training Centre - Victoria is to achieve world-class podium performances through core strategies that encompass athletes and athlete needs, coaches, communications, relationships and strategic partnerships, recruiting, community involvement, and resource generation.
PURPOSE OF THE POSITION
The Administrative and Member Services Coordinator is responsible for providing executive support to the Director and Head Coach of the National Team Training Centre-Victoria as well as administrative and organizational services in the management of the office, special events, website, and marketing for the NTTC-Victoria within the Canadian Sport Centre system. NTTC-Victoria is seeking a candidate to provide administrative services, assist with equipment management, execute communication plans, facilitate program delivery and training camps, work with volunteer committees, and attend some events.
KEY ACCOUNTABILITIES
Administrative & Member Services
Oversee and manage all daily operations of the office including the collection of data, membership and program registration fees, and all client services such as answering the phone, faxing and photocopying services.
Provide a range of general administrative support, including: filing, ordering, receipt preparation, meeting arrangements and minutes, and presentation preparation.
Assist in program coordination and execution, including: registration, facility bookings, training camps, project travel and accommodation logistics, budgeting, and post-program follow-up and evaluation.
Process fee payments, track expenses and monitor overdue invoices.
Assist with management of centre equipment: provisioning, shipping of equipment, and repairs.
Maintain clean and tidy office.
Data Coordination and Reporting
Assist in coordinating and maintaining member information, including database entry, updating, and maintaining membership hard files.
Assist with annual and monthly reports.
Maintain other database info including equipment inventory and repairs.
Communications
Write news reports for the website on athlete success, training camps and other NTTC-Victoria updates.
Update athlete profiles on website when necessary.
Communicate with local media regarding athlete successes and specific events for media to attend (training camps, local events).
Keep up with timely email communications with athletes and PacificSport staff.
Other Responsibilities
Complete projects as necessary and assigned by the Director and Head Coach of NTTC-Victoria. This may include grant and funding proposals, and communication materials.
Assist with planning special events and meetings.
Attending events on behalf of the NTTC-Victoria.

Other Requirements:
Proficient computer skills; strong knowledge of Microsoft Office.
Proven administration experience and skills, preferably in a not-for-profit or sports environment.
